The AI Adoption Gap Is Costing SME Owners Real Hours

25 July 2026

The BCS, the Chartered Institute for IT, has published a report on what it calls the AI adoption gap: the tools flooding the market are built for enterprise offices, not for the workflows of a plumbing firm, a scaffolding outfit, or a parts supplier. The finding is blunt. Most SME owners are left bolting generic chatbots onto jobs those tools were never designed for.

Here's what that actually means on the ground. Say you run ten quotes a week, each taking 45 minutes to draft, price and check against material costs. That's 7.5 hours of your week gone before you've picked up a single tool. Off-the-shelf AI can draft text fast, but it doesn't know your pricing structure, your suppliers, or your margins. So you end up rewriting half of what it gives you, which barely saves any time at all.

Now build your own version instead of waiting for someone else to. Take a general AI assistant, feed it five of your best past quotes, your standard terms and your usual line items, and ask it to draft new quotes in that exact format. Most owners find drafting time drops from 45 minutes to under 20. Across ten quotes a week, that's roughly 4 hours saved. At £40 an hour, that's £160 a week, or around £8,300 a year, without buying a single new piece of software.

The same logic applies to scheduling, site reports and supplier emails. The tool isn't the problem. The lack of setup is. Nobody is going to build a bespoke platform for a 12-person groundworks firm, so the margin sits with whoever tailors the general-purpose tools first.

What to do this month

The gap the BCS report describes is real, but it's not a reason to wait. It's a reason to move first.
