Nobody Is Tracking Your Team's AI Spend

Rippling, the HR software firm, revealed this week that it spent millions of pounds on AI tools in a matter of months before anyone noticed. Its response was to build an internal AI Spend Console that tracks exactly what each employee and team spends on AI subscriptions, and whether any of it is actually saving time.
Why this matters for your margin
Most UK SME owners have no idea what their AI bill actually is. It's not one line item. It's a ChatGPT subscription here, a Copilot add-on there, a trial of some automation tool a project manager signed up for six months ago and never cancelled. None of it shows up as a single cost until you go looking.
Take a firm with 15 staff. If five of them are running two or three AI subscriptions each at £20 to £50 a month, that's easily £600 to £1,000 a month — £7,000 to £12,000 a year — with no one checking whether it's saving hours or just adding noise. Compare that to a labourer's day rate or a project overrun cost, and it's not trivial. It's a line item that deserves the same scrutiny as fuel or materials.
The bigger risk is duplication. Two teams often buy overlapping tools because nobody's tracking spend centrally. A construction firm might have estimators using one AI tool for takeoffs and the office using another for admin, both billed monthly, both underused, both nobody's job to review. That's margin leaking out quietly, month after month, invisible on a P&L until someone actually adds it up.
What to do this month
- Pull every AI-related subscription off your card and bank statements for the last three months — list them all, no exceptions.
- Ask each tool owner one question: how many hours did this save last month, and can you prove it?
- Cancel anything without a clear answer. Renew nothing on autopilot.
- Put one person in charge of approving new AI subscriptions going forward, even if it's just you.
